How Licensing Works.

This page explains how licensing works for WorkforceVision Power BI visuals, including how to purchase, assign, and manage licences through Microsoft AppSource and the Microsoft 365 admin centre.

Licensing Requirements

A licence is required to be assigned to all users of the visual, including developers in Power BI Desktop and viewers or users in Power BI Service. Licences are not feature specific; they are required for visual use. This includes all visual users irrespective of their Power BI licence type.

1. Where and how to purchase licences

All licence purchases are managed directly by Microsoft through Microsoft AppSource. To compare quotes or purchase licences:

  1. Go to the AppSource listing: Org Chart Drag and Drop
  2. Select “Buy Now”.
  3. Choose the plan that matches the number of licences you need.
  4. Select monthly or annual billing.
  5. Follow the checkout process until the Payment section to see the total cost.

Several plans are available based on licence count, such as 1–10, 11–200, 200–500, 500–1199, and higher tiers. Larger tiers provide a more cost-effective price per licence, and annual billing generally offers the best value.

In many cases, selecting a larger plan than your exact user count can reduce overall cost and provide flexibility for future growth.

  • Click “Buy Now” on the AppSource listing.
  • Select a plan and proceed to the Payment step.
  • Compare monthly versus annual totals before confirming the purchase.

2. How licence assignment works

When licences are purchased under your organisation’s billing account, your company receives that number of licences which can be assigned to users or groups via the Microsoft 365 admin centre.

If you purchase 11 licences on the “WorkforceVision Org Chart (11–200 Licences)” plan, your organisation will receive 11 assignable licences.

  • Licences are owned by the organisation, not individual users.
  • Licences can be assigned to users or groups.
  • Licences can be reassigned if an employee leaves.

Existing automated Microsoft licence assignment processes can usually be extended to include WorkforceVision Org Chart licences.

3. How licences are used in Power BI

Once a user has a licence assigned:

  • The visual can be used in any workspace within the tenant.
  • The visual can be used across multiple reports and dashboards without limit.

Important points:

  • Licences are assigned to users, not workspaces.
  • Licensed users can access the visual in any workspace they have permission to access.

4. Tenants & sharing

  • Licences cannot be shared across tenants.
  • Licences are restricted to the purchasing organisation’s tenant.

External collaborators or clients must hold licences within their own tenant to develop or extensively use the visual.

5. Changing plans & purchasing additional licences

5.1 Increasing your licence count

If you require more licences and move into a higher tier, the recommended approach is to cancel the existing plan and purchase a new one.

  1. Cancel the existing plan in the Microsoft 365 admin centre
  2. Purchase a new plan at the higher tier through AppSource.

Plans cannot usually be amended once active, and higher tiers are often more cost-effective.

Example: An organisation with 250 licences on the 200–500 tier requiring 270 licences should move to the 500–1199 tier rather than topping up within the lower tier.

5.2 Cancelling and starting a new plan

  • Plans cannot usually be amended once started.
  • Changing tiers requires cancelling and starting a new plan.
  • Auto-renewal is based on the plan start date.
  • There is no cancellation fee.
  • You may cancel and start a new plan on the same day.

6. What happens if you run out of licences?

  • Additional licences are not automatically purchased by default.
  • Unlicensed users may see a message prompting them to request or purchase a licence.
  • This does not usually trigger an automatic purchase.

Confirm licence behaviour with your IT or licensing team if unsure.

7. Large purchases & private plans

For large licence purchases, private plans may be available at reduced rates.

  • Contact irawatt@workforcevision.co.uk for high-volume or enterprise scenarios.
  • Private offers may be arranged through AppSource where appropriate.

8. Tax Exemptions

All purchases are processed by Microsoft through AppSource. Tax exemptions must be applied at the Microsoft billing account level.
